Job Purpose:

  • To provide administration, coordination and support to the development department in the implementation and delivery of housing development projects from inception to handover to final closure.

 

  • To support the development team to ensure the delivery of of homes that meet the highest standards in accordance with best practice and regulatory requirements.

 

  • To develop and maintain excellent working relationships with multiple stakeholders including the Dept of Housing, Local Authorities, Developer, Contractors, the Housing Finance Agency and the Housing Agency.

 

Principal Duties & Responsibilities

  • Coordinate effective administration processes within the development department to ensure the smooth operation of the of the function.

 

  • Support the Director of Development and Development Manager in the preparation and coordination of financial analysis and project viability.

 

  • Complete funding applications to banks and other lenders for grants (SEAI etc) funding, (CAS CALF CREL).

 

  • Maintain an up-to-date project/programme databases, project milestone trackers, department KPIs, property data sets, and regulatory/statutory requirements.

 

  • Engage with the Department of Housing, Housing Agency, HFA , Local Authorities and other stakeholders regarding payments/project stages and respond to information requests and statutory returns.

 

  • Operate and maintain development department procedures and systems in line with relevant regulations, procurement and external agency auditing requirements.

 

  • Support the Director of Development and Development Manager with the management of project related risk including the maintenance of project/programme specific risk registers and compile related reports.

 

Administration

 

  • Provide administrative support to the development team, Sub-Committees and Board of FOLD Housing including attendance at meetings, provision of minutes, servicing of meeting requirements etc. Including attendance at events, meetings, workshops and consultations that may occur outside normal office hours.

 

  • Update information on relevant databases including: local and national government agencies, representative bodies, lending institutions, insurance providers, and other technical and housing specific service providers.

 

  • Support the development team to maintain monthly defects reports and collate and identify any ongoing issues.

 

  • Produce reports, statistical information, progress charts, spreadsheets, trends, information packs and other materials as required.

 

  • Manage and report to the Director of Development on all funding applications

 

Communication

 

  • Acknowledge and manage incoming and outgoing correspondence, visitors, telephone calls and email monitoring and response for the Director.

 

  • Engage with the wider team regarding appropriate cover during periods of annual leave, busy periods or in a Development Sub Committee/Board cycle.

 

  • Maintain a photograph library and prepare/coordinate articles for the staff newsletter, annual report or contribution to stakeholder publications.

 

General

 

  • Effectively represent Fold when required at forums, working groups, conferences and seminars on behalf of the development team.

 

  • Collaborate with the Development Manager and Development Officers in procurement exercises to include completing Project Procurement Plans, Pre-Qualification and Tender Assessments and evaluation panels as and when required.

 

  • Undertake other delegated duties appropriate to the scope and function of the grade of post
